Position Overview:

Support the daily operations of both the Service and Parts departments within our Queanbeyan branch by providing a wide range of administrative assistance. This includes tasks such as managing documentation, coordinating communication between teams, assisting with scheduling and customer enquiries, maintaining accurate records, and contributing to the overall efficiency and organisation of departmental activities within the branch.

Responsibilities include (but are not limited to):

  • Coordinate internal and external customer inquiries to the Service Department
  • Open work orders as directed and maintain control until they are closed and invoiced.
  • Prepare quotes for service repair jobs.
  • Schedule customer jobs
  • Assist to promote and sell products and / or Parts services to meet customers’ needs.
  • Assist parts team with creditor invoice entries and debtor enquiries.
  • Maintain showroom optimisation by ensuring all marketing material is current.
  • May research and interpret parts requirements.
  • Verify receipt of shipments and assist with delivery to proper inventory locations.
  • Provide general administrative support to the branch, parts, and service departments.
  • Update customer profiles in HANDLE.
  • Direct in-person customers as well as telephone enquiries to the proper parties within the dealership.
  • Create and review purchase orders.

The Ideal Candidate:

  • Experience in a clerical, service administrator or service advisor role or similar.
  • Strong people and communication skills with exceptional customer service attitude.
  • Demonstrated ability to use standard desktop applications such as Microsoft Office and sales software systems.
  • Demonstrated knowledge of office procedures, data entry, and spreadsheets.
  • Good understanding of mechanical / technical terms is preferred.
  • Good accounting and reconciliation understanding and capability.
  • Agricultural mechanic qualification preferred but not essential.
  • Forklift and Drivers license preferred
